The Meetings & Special Events Specialist is responsible for the planning, coordination, and implementation of all details of assigned events and meetings. This includes, but is not limited to, project research and execution, event logistics, execution and on-site management, internal and external event communications, vendor procurement and management to the full extent necessary for event execution.
This person is detail-oriented, displays a service mentality, and can prioritize and multitask between various events while working well in a deadline driven atmosphere. Specific job duties to include:
• Assists in planning of events to include but not limited to
-Coordinating facilities, lodging, food and beverage, travel, entertainment, and other related issues.
-Responsible for establishing and adhering to individual and overall event budgets.
-Negotiating with vendors and establishing relationships with repeat and/or favored vendors.
-Research site locations for suitability.
-Prepares bid comparisons.
-Reviews contracts for facilities, transportation, entertainment, events, and related activities.
-Coordinates arrangements with vendors and site logistics as needed.
-Work-back schedule creation and management.
-Coordinating staffing.
-Travel and itinerary coordination.
-Scheduling and facilitating event planning meetings.
-Coordinating invite lists and event communications.
-Creation of event App content.
• Managing the execution of events including but not limited to:
-on-site volunteer management.
-on-site vendor management.
-on-site guest relations.
-event App management.
-docketing, review, and payment of vendor contracts and invoices while managing event budget.
Performs work under general supervision. Handles moderately complex issues and problems and refers more complex issues to higher-level staff. Possesses solid working knowledge of subject matter.
Education: Bachelor’s Degree in Event Management, Marketing or Communications preferred.
Experience: 2-4 years of experience in event planning, hotel event management, DMC experience, or equivalent.
Skills: Proficient in Microsoft Word, Excel, PowerPoint and Outlook. Oral and written communication skills. Ability to meet deadlines. Ability to work independently as well as part of a team.
